Scheduled reports

A scheduled report runs on its own, on a schedule you set, and emails the results to the people you choose — so the right information lands in the right inboxes without anyone having to remember to run it.

  • Report scheduling is a Complete-edition feature (or requires the scheduling add-on) and needs schedule permission on your role. If the Schedule button doesn’t appear, scheduling isn’t part of your access.
  • Because scheduled reports are delivered by email, your account’s email (SMTP) settings must be valid. If they aren’t, Wasp Asset prompts you to configure them first — see Options.
  • Your time zone must be set so the schedule fires when you expect. You’ll be prompted to configure it if it isn’t set yet.

Scheduling begins from a report:

  1. Open Reports from the left sidebar and choose Reports.
  2. Select the report you want to schedule and set its parameters.
  3. Click Schedule.

This opens the Schedule Report page, where you set up when it runs, what format it’s delivered in, and who receives it.

In the Schedule the Report section:

  • Give the schedule a name so you can recognize it later — this is required.
  • Set the schedule’s status to Enabled so it runs (or Disabled to pause it without deleting it). New schedules start Enabled.
  • Choose the delivery format — CSV, PDF, or Excel. New schedules default to CSV.
  • Set the recurrence to control how often the report runs — by the minute, hourly, daily, weekly, monthly, or yearly. Depending on the pattern, you’ll also set details like which days of the week, a specific day of the month (or a relative day, such as the first Monday), and a time of day. Wasp Asset shows the next scheduled occurrence so you can confirm the pattern is what you intended.
  • Enter an email subject so recipients know what the attachment is.

In the recipients section, you can send the report to any combination of:

  • Users — pick individual Wasp Asset users.
  • Roles — send to everyone in a role.
  • Email addresses — enter one or more addresses directly, separated by commas.

The Schedule Report Parameters section lets you confirm or adjust the options the report will use each time it runs — for example, a rolling date range so each delivery covers the most recent period.

When everything looks right, click Save to create the schedule (or Cancel to discard it).

  • The Schedule button prompts me to configure SMTP. Scheduled reports are emailed, so valid email settings are required. Configure them in Options, then return and schedule.
  • I’m asked to set a time zone. The schedule needs a time zone to fire at the right time. Set it when prompted and continue.
  • Save won’t go through. Check that the schedule has a name, a valid recurrence pattern (the next occurrence should be shown), and at least one recipient. Missing required fields are highlighted.
  • Recipients aren’t getting the report. Confirm the schedule is Enabled, the recipients are still valid, and any direct email addresses are separated by commas. A paused (Disabled) schedule sends nothing.
  • Reports — find, run, and export a report; scheduling starts from here.
  • Options — configure email (SMTP) and time zone settings scheduling depends on.
  • Users and Roles — who you can send scheduled reports to.
